This Privacy Policy explains how PT ACSENT LINGUA GLOBAL collects, uses, shares, stores, and protects personal data when you access or use Acsent. In this Policy, "Acsent," "we," "us," and "our" refer to the operator of the service.
This Policy applies to Acsent websites, apps, placement tests, mock tests, question banks, speaking and writing tools, reports, subscriptions, credits, school or partner flows, and related support services. It should be read together with our Terms of Service.
1. Information we collect
We collect account information such as your name, email address, password or Google sign-in details, phone number if provided, onboarding answers, school or partner identifiers, subscription or credit status, support messages, and account settings.
When you use tests, practice sets, placement tests, speaking sessions, writing tools, reports, or review features, we collect learning activity such as answers, essays, transcripts, scores, CEFR estimates, feedback, generated reports, progress history, test attempts, timing, and feature usage.
For speaking, proctoring, or verification features, we may collect microphone input, audio recordings, audio chunks, transcripts, camera images, selfie images, face-verification data, face embeddings, device signals, and monitoring events needed to operate those features.
For school, partner, placement, or invitation flows, we may collect student names, student email addresses, parent or guardian email addresses, parent or guardian WhatsApp numbers, consent timestamps, school identifiers, partner identifiers, session identifiers, and completion status.
We also collect technical and usage data such as IP address, device and browser information, operating system, approximate location derived from technical signals, cookies or similar identifiers, log data, analytics events, error reports, referral information, and pages viewed.
2. How we use information
We use information to create and secure accounts, provide IELTS, TOEFL, English learning, placement, mock test, speaking, writing, scoring, subscription, credit, school, partner, and support services.
We use test content, essays, transcripts, recordings, and related activity to generate scores, feedback, explanations, reports, progress tracking, placement outcomes, and teacher or partner dashboards where applicable.
We use camera, selfie, face-verification, microphone, device, and monitoring data to support identity checks, test integrity, fraud prevention, abuse prevention, security, troubleshooting, and feature reliability.
We use contact and transaction data to send service emails, OTPs, password reset emails, receipts, payment reminders, account deletion notices, product updates where permitted, and support responses.
We use analytics, logs, and aggregated information to understand product performance, fix bugs, improve content and scoring quality, detect abuse, plan features, and keep the service reliable.
3. AI processing
Acsent uses AI systems and service providers to support transcription, scoring, feedback, conversation practice, text-to-speech, content generation, moderation, and product improvement.
Your essays, answers, transcripts, recordings, prompts, generated responses, and related context may be processed by AI service providers only as needed to provide, secure, evaluate, or improve the service.
AI scores, CEFR levels, feedback, placement results, and reports are educational estimates and may be reviewed, corrected, or regenerated when needed for quality, support, or abuse prevention.
4. Cookies and analytics
We use cookies, local storage, session storage, analytics SDKs, pixels, and similar technologies to keep users signed in, remember preferences, measure page views, understand feature usage, detect errors, prevent abuse, and improve marketing performance.
Our analytics and advertising tools may include PostHog, Google Analytics, and Meta Pixel where configured. These tools may receive identifiers, device data, page views, events, and approximate location or referral data.
You can control some cookies and tracking technologies through browser settings, device settings, or privacy controls offered by the relevant provider. Some required technologies are necessary for login, security, payments, or test functionality.
5. Payments
Acsent currently supports payments through Xendit and PayPal. These providers may collect and process payment information, billing details, account identifiers, fraud-prevention signals, and other information required to complete a payment.
Acsent does not need to store full card numbers. We may receive and store payment status, invoice identifiers, transaction identifiers, invoice links, currency, amount, country code, coupon or discount details, webhook data, and related metadata for billing, credits, subscriptions, support, fraud prevention, accounting, and legal compliance.
Payment processing is also subject to the privacy notices and terms of Xendit or PayPal, depending on the payment method you choose at checkout.
6. How we share information
We do not sell your personal data. We share information only where needed to operate, secure, support, analyze, bill, or improve the service, or where required by law.
We may share information with hosting, storage, database, infrastructure, email, authentication, analytics, advertising, payment, transcription, AI scoring, text-to-speech, error monitoring, security, and support providers.
If you use Acsent through a school, teacher, institution, partner, placement test, invitation, or credit program, we may share relevant account, progress, score, report, completion, and usage information with the organization that provided or administers your access.
We may disclose information to comply with law, enforce our terms, protect rights and safety, prevent fraud or abuse, respond to lawful requests, support a business transfer, or resolve disputes.
7. Sensitive and verification data
Audio recordings, camera images, selfie images, face embeddings, child data, financial information, and similar information may be treated as sensitive or specific personal data under applicable law.
We use face-verification and monitoring data only for identity verification, test integrity, fraud prevention, support, security, and related service operations. We do not sell face-verification data or use it to identify you outside Acsent's service context.
You should not submit unnecessary sensitive personal data in answers, essays, recordings, support messages, or uploads unless a feature clearly requires it.
8. International transfers
Acsent and its service providers may process and store information in Indonesia and other countries where our infrastructure, payment, analytics, AI, email, storage, or support providers operate.
When information is transferred internationally, we use reasonable safeguards required by applicable law and work with providers that are expected to protect personal data according to their service commitments.
9. Retention and deletion
We keep personal data only for as long as reasonably needed for the purposes described in this Policy, including providing the service, maintaining records, preventing abuse, resolving disputes, complying with legal obligations, supporting schools or partners, and improving the product.
When you request account deletion from your Profile page or by contacting Acsent support, we may first place the account in a scheduled deletion period so you can recover the account if the request was accidental. Our current deletion flow schedules permanent deletion after 30 days.
After permanent deletion, we delete or anonymize account records where practical. Some records may be retained longer where required for payment, accounting, tax, security, fraud prevention, legal compliance, school or partner reporting, backups, dispute handling, or legitimate business purposes.
10. Your rights
Depending on applicable law, you may have rights to access, correct, update, delete, restrict, object to, withdraw consent for, or request information about how we process your personal data.
To make a request, contact us at support@acsent.ai. We may need to verify your identity before responding. Some requests may be limited where we must keep information for security, legal, payment, school, partner, dispute, or legitimate business reasons.
11. Children and students
Acsent is designed for language learners, schools, partners, and institutions. Some users may be students or minors using the service through a parent, guardian, school, teacher, institution, or partner.
Where a school, partner, parent, guardian, or institution provides access for a student, that organization or adult is responsible for ensuring it has the authority and consent needed to provide student information and permit use of Acsent.
If you believe a child or student has provided personal data without appropriate authority or consent, contact us so we can review the account or data.
12. Security
We use reasonable technical and organizational measures to protect personal data, including HTTPS, access controls, authentication, logging, monitoring, and operational safeguards.
No online service can guarantee absolute security. You are responsible for keeping your login credentials safe and for contacting us if you believe your account has been compromised.
13. Changes to this Policy
We may update this Privacy Policy as Acsent, our data practices, legal requirements, or service providers change. The version and effective date above identify the current Policy.
If a change is material, we will take reasonable steps to notify users or request renewed acknowledgment where appropriate. Continued use after a change takes effect means the updated Policy applies.
